SendMyAd

Change in PDF version detection. Please review your setting for checking the PDF version in your preflight profiles if you are not ignoring that value.
Improvements in detecting PDF/X-1a compliance (for upcoming release of our new preflight engine only).
All download links are now faster and support very large files.
Duplication of all ad sizes to the same publication renames the copied specifications for easier identification.
When configuring issue deadlines, the materials due date is now verified to be before the run date, and if not, will auto-set it to be the same. A warning will appear to verify the correct dates.
Ad size template files are being generated again. We now support InDesign CS 5.5 and 4.0 through the InDesign Markup Language (IDML) file format.
Ads may now be merged with metadata from an existing materials request. Check for the button in the ad's job ticket.
New ad repositioning tool manual available from preflight report.

Features

SendMyAd

Ad Creator: New ability to fit an image to frame by most appropriate dimension.
Ad Creator: New ability to change the size of images by entering width and height parameters. All apect ratios are kept the same.
Tablet Ads may now be delivered when they are completed.
"Invite Advertisers" button moved to the publisher dashboard.
Separate file uploads for spread-sized ad specs are now possible. Ad sizes where page coverage is larger than a single page will have a new setting to allow separate file uploads. The user will then have a choice to upload separate files or to upload a single page spread as they have done in the past. Watch the screencast for details.

VirtualPublisher

Page merge tool: Ability to bring items forward and backwards on layers in the merge tool.
Page merge tool: Now when clicking on images the frame outline is more similar to indesign. The bleed becomes visible and is grayed out of the frame.
Page merge tool: Better guide dragging and guides stay placed while zooming. (This will come to the trim tool soon)
Color profiles can be managed separate from SendMyAd now, the same way preflight profiles can.
Color profiles are now validated and required on both the ads and publication level.

Bug Fixes

All issue times default to 00:00:00 instead of the current hour minute and second.
Ad Creator: Please note all templates will need to be regenerated. There are several ad creator fixes, the most critical is the bug which would create duplicate text boxes is now corrected.

New Feature: Publisher approvals for tablet ads

We've now enabled publisher approvals for tablet ads. When configuring an approval cycle, there is now a select menu that associates the approval with print or tablet ads, pages (if using Virtual Publisher) or all file types. Otherwise, publisher approvals work just as before.

Delivery locations can be configured to differentiate between a ZIP or PDF final file.
Manual transfer and automated delivery of zip campaign ads now supported.

Automated bleed box correction

A new setting in each preflight profile will tell SendMyAd to try to fix incorrect bleed boxes. If a file does not contain a bleed box, one will be added using the dimensions of the ad specification. If there is an existing bleed box, it will be compared to the ad specification's bleed size. If the file’s bleed box falls within the bleed tolerance value set in the preflight profile, it will remain unchanged. If the bleed box falls outside the bleed tolerance value, the bleed box will be adjusted according to the ad specifications. NOTE: This automated fix is simply adding or adjusting the bleed box to match the ad specification. All graphics intended to bleed will need to have enough image data to extend into the new bleed area.

More detailed file processing information

New message screens show users when a file is taking longer than normal to process, if the file times out during preflighting, or if the file is corrupt and should be re-uploaded.

Other Minor Enhancements

Publication code returns to former behavior of allowing any code, even if not unique in the system.
Zip contents viewer added for all digital ad types and zip assets uploaded to any kind of ad.
New "short label" field on ad spec can be used for a delivery file name or path. It can also be used as part of the material ID.
Publisher approval interface has been refreshed.

Enhancements

Better Bleed Detection

There is now a bleed preflight check which has a tolerance value just like trim. This allows publishers to flag bleed sizes that are too large and to accept bleed sizes that are slightly under your specifications.

Cross Site Pickups For Publishers Who Are Partners

If your portal is has partnerships with other SendMyAd publisher sites, advertisers will now be able to pick up and copy ads between all titles regardless of publisher.

Batch pickups

There is now a way to simply copy multiple ads in a single publication to a new issue.

New Ad Notes System

A new coordinate based ad notes system has been added. Publishers and advertisers can now draw note boxes on individual ads for tracking specific problematic areas.

New Reminder Screen For Advertisers

We have added new reminder screen for advertisers. This screen appears when an advertiser uploads an ad an then closes the details view before it is approved or rejected.

Invitation System Enhancements

Existing users will not get emails if re-invited by another user.
New report shown immediately after attempting to invite customers listing number of successes, failures, and skipped invitations to existing users. Poorly formed email addresses are shown so they can be corrected.
Publishers may remove an invitee from their list to prevent duplicate re-invitations from being sent to a customer.

Other Minor Enhancements

Publishers may choose to hide pickup details from ad history, XMP metadata and receipts. This is intended primarily for multi-publisher sites and the new universal pickup featured noted above.
Translation edits no longer require a user to clear their browser cache.
Usability improvements for users resetting their password.
Improvements to materials requests when users are assigned late in the process.
Adds an option to "Ads per issue (by issue)" report to omit hidden and archived ads.
Help button available when uploading ads. It contains common solutions for users having problems using the uploader.
More informative display of video tutorial links includes the duration of each video and a description.
Ad sizes can now all be copied from one publication into another one.
XMP metadata and digital receipt will show information about the source for copied ads. (Ads that were "sent to other pubs.").

Bug Fixes

Resolves issue with ads being offset improperly after trimming (found only in rare cases after the ad was reprocessed).
Archived ads have only appropriate action options available to them.
Improved behavior of Manage Ads at lowest supported screen resolution, 1024 x 768.
Downloading large original files (under "Assets" in the ad details view) will be much more reliable.
Resolves issue with ad sizes losing their connection to delivery locations.

Features

SMA Official Help Manual 1.0 release. To view go to Sma Help area and click manual button. Not all entries are available yet but we are working diligently to complete the manual.
Publishers can now change the ad contact associated with the ad. This is useful for publishers who upload ads on behalf of their customers and would like the customer to be able to access the SMA ad. This can be found in the left side ad view panel under job ticket.
Upload Times can now be seen in the ad view file properties panel.
Ipad ads with both horizontal and vertical previews can now be rotated to see both preview types.
Ad View left panel resizers. This is particularly helpful for French Canadian language users. In the ad view you can now re-size the left panel by grabbing the resize handle at the top right of the panel. You may also re-size the inputs and label distance by grabbing the space between the label and input. See video here.
Skype integration. If a user has their skype profile set as public and fill their skype name out in the SMA user profile, the user may be directly contacted via skype from several views.

Better GWG integrations

Incoming GWG ads now make more attempts to connect with the existing SMA users.
Outgoing files maintain GWG information that is missing from the SendMyAd data.

Publishers can now change the text displayed when ads reach the revision limit.
If you are a publisher who is in a group with other SMA publishers, you can now gain the right to see all customers who join the parent publisher's portal.
Publishers using "publisher approval system" can now enforce materialsId or booking number to be present before approving the final ad.
SWF ads now show thumbnails in the ad list and thumbview.
New email notification for when assets are uploaded to an ad.
New option for managing material ID numbers during pickup: Create an entirely new materialId for a new publication, or keep the same if pub is unchanged.
Add additional validations to ensure properly formatted and unique publication codes.

Fixes

Calendars can now be translated to different languages.

This update was mostly dedicated to under the hood improvements designed to facilitate the upcoming digital ad portal enhancements. There were a few random improvements of note.

Feature: Publishers can remove relationships with their customers.This can now be done in the customers management area.
There is a new button that says remove relationship with customer.

Feature: New delivery location feature supports sending files directly to a delivery destination upon file upload.
In the delivery destinations setup there is a new drop down entry which allows uploaded files to be directly forwarded to an offsite location. Upon selection of this option a new filter drown appears which asks which type of files you wish to send.

Since this is designed as a backup or forwarding method there are 2 items it does not support.
1. Issues: in this case we do not support multiple delivery of files by issue since there can be more than one issue and we dont want to needlessly deliver the file more than once upon upload.
2. Specification filters: Since this item is filtered already by file type it negates the specification filter option.

Feature: Issue Run Date and Materials Due Date can be managed down to the second.
There is also a new item which informs the user if the issue will run in less than 24 hours.

Large Change: Web Containers (Websites) management has now been moved under the company profile and renamed to "Web Media Profiles".
This was done because most customers will only need one web media profile and the left menu item was overkill.

Feature: New translation manager in place which can allow publishers add possible translatable phrases.

Feature: PDFx1a Compression added. This is an option that must be confirmed through support.
This option maintains 100% quality of the printable PDF while reducing its size using compression. This helps download and delivery speed tremendously.

Feature: Folio Number added to the main ad list view.
This new column is only reflecting the folio data which can be found in the job ticket portion of each ad.

Latest Release Features & Fixes

We are putting the finishing touches on our next release of SendMyAd. Included in this feature are the usual behind-the-scenes improvements and optimizations to continually improve the performance for our users. In addition, look for these changes and new features:

Publishers Notification Update

Support requests from the ad details view now go to the publication's default material contact. Likewise if a user sends a support request from the Dashboard, and select a publication in the help form.

Translations Update

Dashboard Events will alert publishers that there is text in need of translations. This will help you keep on top of ongoing translation needs when new features are introduced in the site. We also exploring ways internally to keep track of all new translations and notify effected customers of the changes.

Ad Preflighting Update

Fixed bug in preflight minimum maximum line width tracking. To correct please go to your preflight report and check your line widths.

File Delivery Update

Added support for delivery of the original uploaded ad.

Revision Handling update

New option in ad actions menu to boost an advertiser's revision limit. This is useful when an advertiser has reached the revision limit and you wish to manually increase that limit. The default adds 10 to the current limit.

Ereader/iPad Zip Update

Added new view for browsing uploaded zip files. The left panel was too crowded to see the zip hierarchy.

Digital Ads Updates

Preflight settings of digital ads moved to a profile setup where a single profile can be applied to all ad unit sizes at one time. Very similar to how print ads already work. Notice: If you are demoing the digital ad portal you will need to update your new preflight profiles to match your old settings. These were reset in the upgrade.
Support for IAB image, rich media and digital video size spec import added.
More campaign information on upload form and better campaign tracking.
Websites option in the left menu renamed to Web containers.
When uploading rich media ads, there is a new option to allow multiple file type. Previously only jpg was an option.

General Site Changes

Improved our upgrade process, greatly reducing the need for clearing the browser cache after a site upgrade.
Increased the flash version requirement to 10. The trim tool now requires Flash version 10. Check your version here.

We did not change any of the actually lock out of site limits. These are just posted as the minimum requirements. We strongly believe pushing for the latest browser versions helps keep the internet more secure and feature rich.

New right to see publisher's action menu

We've also added a new right to allow or restrict access to the publisher actions menu when viewing an ad. The new right is called "Can see publisher action menu" and can be assigned per group. The default publisher groups will have this right. You will need to add it to any custom groups you've created that need access to this feature.

To do this, visit Manage > Groups, and select each group that must be edited. You can assign the right in the editor view that appears under the Rights section.

New user right to see Dashboard

Following a publisher's request, we've added a new feature that will be in our next update. It will allow you to choose if your users can see the Dashboard. It's called "Can see Dashboard." It is enabled for all default groups in the system. If you have users that are only in custom groups you've created, you'll need to add this new right to the custom groups to still allow access to the Dashboard.

To do this, just visit the Manage > Groups area, and add the right for each group.

One major feature of our upgrade tomorrow is a redesigned trim tool interface. We think you'll find the new interface more efficient and easier to use. We've also added a new optional feature that allows a user to add text to the PDF using the trim tool. A typical use of this would be for adding reader service numbers. We've introduced a new feature this morning for advertisers. There is a new graphic "badge" next to the Manage > Ads left menu item. The icon shows the number of ads waiting for a decision from the user - to be rejected or approved. We're hoping this extra visual will emphasize to users that they need to decide on the status of each ad they upload and cut down on unnecessary revisions.

Reports feature moved

You may have noticed that Reports is no longer found under the Manage menu on the left in SendMyAd. You can now find this feature in the Dashboard and in your company profile - just look for the Reports button in both locations.

New beta feature: SFTP file delivery

Today's upgrade contains a new beta feature - the ability to deliver files over secure FTP. Also known as SFTP, it can be configured in the add or edit delivery location screens. Please contact support if you would like to test this feature. We'd like your feedback on this new functionality.

We upgraded the site early this morning to bring you a range of fixes and enhancements to SendMyAd. If you've been waiting on a fix or new feature, and were told it was in the next upgrade - it's live now.

This release brings expanded translation support, with the vast majority of the site now supporting multiple languages. If you have a need for a version of the site in a language other than English, let us know so we can arrange the setup for you.

Publishers can now also upload their own logos and custom branding information for the front "landing" page. You can also tweak the CSS file for the site to customize the look and feel. These features are found in the Look and Feel section of your publisher settings.

Changes to password reset system

In order to help users that have not yet had a chance to set up a new security question and answer, we've restored the old ability for a user to reset the password themselves by following a special link emailed to them. They will receive this email automatically now if they enter their username in the password recovery area, and we detect that they do not have a challenge question. Users with challenge questions will use that method for their password resets. We hope this will make the system even simpler to use and require less work for publishers.

This functionality will appear in the next upgrade, tentatively planned in about a week.

Resetting your advertiser's password

We've recently revamped the password reset feature in SendMyAd (read previous post for details).

For advertisers who have forgotten their passwords prior to the upgrade last Thursday, they will not be able reset their password themselves because they won't have had the opportunity to create a security question and answer.

Instead, we present that user with a message to contact their publisher to reset their password.

We've created a short video to walk you through that process.

New password reset system

Our existing password reset system has proven difficult for many advertisers to use, so we've replaced it with an easier method. This follows the widely used challenge question and answer format you've surely used on other sites. Many online banking sites, for instance, use this method to protect your identity.

Any new users will be prompted to enter their password recovery question and answer when they create their account.

Existing users will be automatically taken through the process when they log in to the portal after Tuesday night's upgrade. This is a one-time process and will take less than a minute for a user to complete.

We think you'll find the new method of resetting forgotten passwords much easier and quicker.

Technical contact for publishers

We have added a new configuration option in Manage > Company Profile where you can supply the name of a technical contact for your company.

This person will receive copies of any technical support requests created in the portal by your advertisers or internal users.

Very often the support requests received by SendMyAd are not technical issues with the software, but simple questions about an ad or a company policy. Now your technical contact can receive these immediately and provide timely first-line support for those types of queries.

Please be sure to select your technical contact after Tuesday's system upgrade.

System upgrade coming tomorrow night

We've been busy implementing a bunch of under-the-hood improvements to SendMyAd, and a variety of smaller fixes and enhancements our users have requested. We've also added the foundation of several larger features you'll be hearing more about in the coming weeks and months.

New notification type

We're adding a new notification email for when ads are revised. Previously you would get an email saying that new materials had been uploaded but there was no indication that it was a revision - it used the same email template as for new file uploads. Now you can control these separately. They of course have separate templates for your customizations. Simply enable this new notification under your publisher preferences.

One additional note - to make this transition easier, if you have "Notify us when ads are uploaded" enabled in your preferences, we've automatically enabled this new revision option. That way you'll continue to receive an email alert. You'll just need to customize the message with the new template if you wish.

Publication specific approvals

Now you can control all email notifications at the publication level. You can set different groups or the default materials contact for any of the various email alerts. Previously you could only specify that a single group or the materials contact person would receive all types of notifications.

New Enhancement: Materials Id in Thumbnails view

Our recent upgrade includes a new feature in beta testing. This feature provides a way for advertisers to download your Ad Sizes as InDesign documents.

We currently do not create the InDesign file for the ad sizes automatically. If you wish to make this feature available for your users, you must edit each ad spec individually. You can edit any field in the ad spec to trigger the .INX file generation. An easy way to do this is to edit the ad size code field, hit tab or click another field to save the change, then return to the code field to restore the original code value.

You'll then see the button to download the .INX file in the ad size viewer:

Customizable message for upload form

Responding to numerous feature requests, we've added a new feature that allows you to create a customizable message for each of your publications. Whenever a user uploads an ad, they will see this message, depending on the publication they select.

You control the message in the publication setup.

The best part is that you can post HTML links so you now have a way to present your own media kit or schedule PDF files right where the advertiser will see them.

Saving text templates

Saving text and email templates is now working correctly. One slightly new feature with this is that there is now a confirmation message returned to you after you save a template, or a warning if the template could not be saved for some reason.

Hiding publications from advertisers

You may wish to temporarily hide a publication so that advertisers cannot upload ads to it.

We've introduced a new feature that will allow you to do this easily. Simply go to the Manage Publications > Publication Settings and look for this new option:

Simply uncheck this "Allow advertisers to upload to this title" option to hide it from advertisers.

Publisher users will still be able to access the title normally.

This new setting is turned on by default so you don't have to do anything unless you wish to use this new feature.

Simple advertiser sign-up for multiple portal sites

As part of tonight's upgrade, we are simplifying the user experience for when an advertiser visits multiple SendMyAd sites from different publishers.

As long as the URL is a valid publisher URL, the user's account will automatically be granted access for any new publisher site visited. They will no longer have to select the "Click here if you already have a SendMyAd account" link.

If the user types in the wrong URL, like "www.portalname.sendmyad.com", they will be redirected to "portalname.sendmyad.com" and the login should work fine.

Only if the URL doesn't match a known publisher URL, will they be shown the portal redirector that allows them to choose one of the sites they have visited in the past.

We hope this will remove a source of confusion for advertisers visiting your portal for the first time.

Dashboard improvements

New Flash uploader

Our latest version of SendMyAd (scheduled for upgrade tonight at 7PM Central) will include a feature that we hope you might not otherwise even notice.

We are switching our file upload code to use a Flash applet to handle the file name checking and upload processing.

We expect this new Flash uploader to be more reliable and a bit faster.

From an end user perspective, there really isn't anything different except now a very small Flash applet loads when you click "Step 3" in the send ad form.

Users have always needed Flash installed to use the trim applet. Over time we will be expanding the functionality of the site, some of which may also require Flash.

If you're unsure of your installed Flash version, you can check it easily. We require version 9 or higher.

Unlocking advertiser accounts

Publisher administrators may now unlock their customer's accounts.

Accounts get locked for 30 minutes if the user has tried unsuccessfully to log in 5 times in a row.

To unlock an advertiser's account, simply click their user name under the Manage > Customers list. When viewing the user's information, if their account is locked out, a button will be available to unlock it.

Expanded bleed preflighting

Another upcoming feature being tested now: better preflighting of adherence to your bleed specifications.

Previously, SendMyAd was always warning if an ad did not contain bleed according to the ad specification used.

We now allow you to set this check just like other preflight checks - ignore, warn or error.

Note that this feature is retroactive for any ads that were preflighted with the profile you adjust to use this feature.

The default setting is to warn, so if you do nothing the behavior you see will be the same.

Custom publication information field in upload form

We're testing a new feature that will allow you to create a custom message for each publication. This message will appear on the upload form once an advertiser selects a publication.

New feature: re-deliver an ad

You may at some point want to resend a finished ad to your delivery locations. Or, it occasionally happens that an ad fails to deliver for a variety of reasons. (A temporarily unreachable FTP or MassTransit server, for example). This will result in the "Ad Received by Publisher" status, and the download buttons don't appear.

Up to now, you've had to contact SMA support to re-deliver the file for you.

We've just enabled this feature for publisher users now. Watch the video for a demonstration.

This option will not appear for every ad. To be available, the following conditions must be met:

You must be a publisher user with the "Can Manage Ads" permission.

The ad must have been approved by the uploader (advertiser, usually).

If you are using publisher approval cycles, these must have all been completed.

The ad must have been either delivered or at least delivery was attempted.

August 2009 Update

We've just rolled out a new update for SendMyAd. Among the new features and improvements:

1. Added a new right so that it is now possible to manage publications but not be able to edit or add issues. You may need to adjust your administrative groups to add the new rights "Can manage issues" and "Can manage domain level issues." Note that for a group to manage issues they must also have the right to manage publications.

2. New publisher preference in General Settings that lets you turn off public registration for advertisers. If you use this feature, advertisers must be invited - there won't be any links to register on your landing page.

3. If you have enabled the notification for when new ads are uploaded, you will now also receive an email when an advertiser submits a file for a revision.

4. Improved history messages for ad pickups: the source ad will reference the new ad, and the new ad references the old one.

5. Advertisers should be redirected to the proper URL if they enter an incorrect address in their browser or if they come to the generic SMA landing page.

6. Advanced Search is now available for Publications, Users, and Customers in addition to Ads.

7. Many other small improvements and fixes.

There have been some recent major updates in the standard browsers: Safari 4 and Firefox 3.5. Both of these browsers had significant overhauls of their internal JavaScript engines.

To be sure you have the best possible experience with SendMyAd, please be sure that if you're using these new versions, you apply the latest patch updates for both. Safari's current version is 4.0.2 and is available in the Apple Software Update program. Firefox's current version is 3.5.1 and can be accessed from within the Firefox program itself.

Disable advertiser sign-ups from your home page

Normally your ad portal's login screen contains a button or link where advertisers can sign up for a new SendMyAd account without having received an invitation first.

If you prefer to remove this feature, it's now possible to do in your publisher preferences. Just go to the General Settings & Information > Site Settings area. The new preference is called Allow advertisers to sign up for an account themselves from your SendMyAd homepage.

Announcing digital ad support in SendMyAd (beta)

SendMyAd is pleased to announce a major new feature - support for digital ads. This is a beta feature and you must contact us at SMA if you would like it enabled on your site.

Phase 1 of SendMyAd's digital ad processing includes support for image ads in GIF, JPEG, and PNG formats and rich media ads in Flash format. We are planning to support other ad types and file formats in future releases, based upon user feedback.

Enhancements
1. New Lock out feature. Now once an ad is approved, it can no longer be edited by the advertiser. If there are still publisher approvals to be done the ad will remain editable for the publisher until all approvals are done. If no approvals remain the ad will be locked and delivered.

2. New Fancy Buttons on the final ad screen. Once the ad has been completely approved there is a panel that displays several buttons allowing the user to download and pickup the final ad. These buttons have had an overhaul to match the rest of the ad action buttons.

3. Enhanced security on abilities for advertisers with multiple publishers. Advertisers with more than one publisher using the portal can now log in to each portal using the same credentials and be prevented from seeing and using ads from other portals.

#1. Added country and Company Type on user registration form

#2. Added new reposition tool option to allow a popup to confirm any custom text to appear right before an advertiser repositions an ad. This can be used force and advertiser to view specific information before repositioning an ad. This text is customizable in the company templates area.

#3. Added support for on sale date in issue importer.

#4. Added extra password securities. Passwords can no longer be account names and no longer equal the word password

After our recent upgrade we experienced a network issue that cause the email notifications to fail. This problem has now been resolved.

Recently we found files were staying in queue for long amounts of time. This was due to an internal file not being renamed properly. This problem has now been corrected.

file name, process ID, ad name, creator's name and much more
XMP metadata
file properties
ad notes & history
issue name

You can also restrict your search based on a date range.

This is an upcoming feature in SendMyAd that allows publishers to do 2 new things. The first is the ability to enable and disable an ad specification for customer use. The second is an automatic locking function that keeps ad specification managers from deleting ad specifications that are currently in use by customers.
