SendMyAd Case Study: Texas Monthly

Roy Leamon describes his publication as a “particularly large regional magazine,” which, given that the region is Texas, and the magazine, Texas Monthly, attracts national sponsorship and attention, almost qualifies as an understatement—something you don’t hear too often in the Lone Star State.
“Still, Texas Monthly faces challenges that, say, large consumer magazines probably don’t.” The magazine may be known for award-winning journalism and beautiful photography, but its base of advertisers runs the gamut from New York ad agency clients to small-town mom and pop stores, some of whom have advertised with the magazine for years. Leamon, vice president of production and technology, must balance the needs of this range of current clients while positioning the magazine for the future.

Key to this effort was the implementation of the SendMyAd ad portal, which allows advertisers to upload an ad directly to the cloud based solution. Ads are automatically preflighted providing immediate feedback on the condition of the ad. Many problems can be fixed in the portal with tools like the trim tool to reposition and eliminate unwanted borders and slug information. All of this makes for quick, hassle-free corrections and approval.

“It’s important the portal allows anybody with any level of technological sophistication to be able to use it, and for the most part it appears the advertisers who use it really like it,” Leamon says.
The magazine is open ended about how it accepts ads, Leamon says, allowing long-time clients who prefer other submission channels to keep using them while encouraging advertisers to switch to the portal. The magazine has seen a steady increase in the number of advertisers using SendMyAd.
“We received ads from a variety of sources, both e-mail and ftp sites, and we have an upload page on our website, but none of those provides any kind of front-end flight checking for problems in the ad file itself or for size correction,” Leamon says. “Before offering SendMyAd, we probably had at least 30 to 40 percent of the ads we get every month would require us to fix something in the ad or to contact that advertiser or the agency or the designer in order to get an ad corrected.”
As every publisher knows, this can take time—usually a day or two to get problems ironed out, and sometimes longer. “It’s remarkable how often designers leave town when you need to make a revision on an ad,” Leamon says.

This is why SendMyAd has proven to be a tremendous time saver. “Any kind of reduction of workload during deadline week is significant,” he says. “It helps reduce the number of ads that either would have problems or simply have to be trafficked, and sometimes, especially in heavy months, that can make a big difference in how your deadline goes.”

Advertisers, he says, “appreciate the ease of use of the portal and have understood that it is ultimately going to be helpful to them, because it assures them ahead of time they are in good shape with their ad.”

It also dovetails well with Texas Monthly’s plans for future growth. Leamon says his decision to use SendMyAd was reinforced by the application’s support for Web and mobile ads, as well as the ability to create templated (or formatted) ads through the cloud-based tool, Ad Creator. He expects both capabilities to play a role as the publication adopts new production efficiencies and monetization strategies.

“Ad Creator will offer the ability for an advertiser to upload some copy, a logo and a photo into a layout, the system builds the ad, and then supplies us a final pdf rather than our having to build those formatted ads by hand,” he says. “We see this as one of the ways SendMyAd can grow with us.”
Near term, Leamon says, SendMyAd has allowed Texas Monthly to be more productive with a small staff. “And we’d like to explore more of the options SendMyAd offers down the road,” he notes, “especially as magazine production staffs have to be increasingly productive on a per-person basis, because hiring more staff is not an option.”

“We think we do a good job and our readers seem to think so too,” he adds. “We are constantly looking for anything that will help us be more efficient and produce the same high quality magazine that we have been producing all these years, so SendMyAd was something that really seemed compelling to us as a mechanism by which advertisers could take a little bit more responsibility for making sure their ads were OK, and getting them correct before they sent them to us. And it certainly has proven to be that.”

Print Ads & General Improvements
  • Adds a faster advanced search option for print ads by Materials ID only. This becomes the new default when searching for ads. The general search is still available but must be selected specifically. 
  • "Notify advertiser when ad is approved by ad uploader" notification fixed. 
  • PDF/X preflighting is fixed to allow a preflight profile to check for either PDF/X-1a flags or PDF/X-3. For PDF/X-1a files, the 2001 or 2003 standards will both pass the test. Please review your preflight profile settings to be sure your desired settings were carried over properly.
  • Preflight conditions related to page boxes, when set to "error", will continue to display as errors, but allow the file to be trimmed. These types of errors will be fixed when the file is trimmed so will not stop the file from being further processed. 
  • New publisher setting in the print upload form area to customize how the issue selector displays on the upload form. Issue name continues to be the default. New choices are run, materials due, and on sale dates.
  • Custom template added for "Ad Received" for when ad is approved but not finalized. This complements an existing template, now renamed to "Ad Completed."
  • After uploading a new ad and closing the ad details screen, thumbnail should be correct, not blank.
  • Ads uploaded using the SendMyAd API (GWG ads, for example), must now match their intended issue's run date exactly. In the GWG job ticket, this is the equivalent of the "First Publication" value. If the run date does not match, an informational message is returned if there are other issues in the same calendar month, so that the file's metadata can be fixed.
  • The final PDF file's name can be customized when clicking the "Download Final Ad" button. This is configured in Publisher Settings > General > Manage Downloaded File Names.
  • Custom help information can be created by publishers for any of their custom metadata fields.
  • Fixes a problem with the ad upload form when no valid ad specs are available. Form cannot be submitted in this case.
  • Ads submitted as PDF/X-1a and trimmed will remain at the version they were submitted, unless a specific output format is chosen by the publisher in the preflight profile. (2001 or 2003). 
  • Print ad advanced search's "General Search" improved to allow case-insensitive matching for creator's full name, advertiser number, booking number and advertiser field.
  • File creator information is retained after trimming or auto-centering a file.
  • Product field now available as a delivery variable.
  • Better display in ad thumbnail view for Internet Explorer. Long publication names are now truncated to fit the space allotted. 
  • Advanced search introduced for Invitees. Found in the Manage Customers area, combined with the existing Customers search.
  • Default materials contact field is moved to the publication general settings area. 
  • Select all / deselect all action fixed.
  • Pager buttons fixed for advanced ad search results. 
Tablet Ads
  • Tablet ads can now be delivered like print ads. Set up in delivery locations for "all ads" or only tablet ads. 
  • Inactive publications should no longer appear in the Send Tablet Ad upload form.
  • Publications without no issues enabled for tablet ads no longer appear on upload form.
Ad Creator
  • Improved characters left count & warning to user when pasting text in Ad Creator form. 
  • When submitting Ad Creator form, all fields are checked to be sure the default placeholder text is not submitted. Default optional text is automatically removed when submitting an ad.
  • Bug fix: preview of Ad Creator ad shows all changes after approving changes as publisher.
  • Ad Creator ads may now be delivered just like regular print ads. Be sure to set up your delivery locations appropriately. 
  • When manually downloading Ad Creator ads, the file name can be controlled using the same system as the print ads noted above.
  • Ad Creator ads appear in reports. For billing purposes they are treated just like regularly uploaded print ads. 
  • Ad Creator ads appear in the Dashboard statistics along with other print ads.
  • Thumbnails appear correctly now in email notifications.
  • Digital Receipts are now created when Ad Creator ads are finalized.
  • Character limits are enforced when editing an existing ad.
  • The Edit Ad form shows text frame label and if the field is required.
  • New report available just for Ad Creator ads that lists the text entered for each ad. The report is created by issue. Available in the normal reports area from the Dashboard.

  • Publisher users can filter their ad list to focus on just Ad Creator ads.

    • Change in PDF version detection. Please review your setting for checking the PDF version in your preflight profiles if you are not ignoring that value.

    • Duplication of all ad sizes to the same publication renames the copied specifications for easier identification.

      • Ad Creator: New ability to fit an image to frame by most appropriate dimension.
      • Ad Creator: New ability to change the size of images by entering width and height parameters. All apect ratios are kept the same.
      • Tablet Ads may now be delivered when they are completed.
      • "Invite Advertisers" button moved to the publisher dashboard.
      • Separate file uploads for spread-sized ad specs are now possible. Ad sizes where page coverage is larger than a single page will have a new setting to allow separate file uploads. The user will then have a choice to upload separate files or to upload a single page spread as they have done in the past. Watch the screencast for details.

      VirtualPublisher

      • Page merge tool: Ability to bring items forward and backwards on layers in the merge tool.
      • Page merge tool: Now when clicking on images the frame outline is more similar to indesign. The bleed becomes visible and is grayed out of the frame.
